Car parts priced and ordered from the job card

Find the part that fits the reg, see what it costs from your shelf or your supplier, and order it without opening a second window. It comes off stock when it goes on the invoice.

Stock that reconciles against what left the shelf

A stock figure is only worth having if it is right, which means it has to maintain itself.

It counts itself down

A part comes off the shelf the moment it goes onto a job, not when somebody remembers to adjust it later. That is what makes the stock figure worth ordering from instead of double-checking every time.

You find out before the bay does

Set a reorder point per part and the ones that have fallen below it are listed for you. Running out is a car on a ramp going nowhere, and it is always found out at the worst moment.

The margin survives to the invoice

Cost and sell sit beside each other before you commit, and your markup matrix applies the same rule every time. Parts margin is where a busy month quietly turns into a poor one.

From identifying a part to invoicing it

Five steps, and the part is only typed in once, by nobody.

1

Identify the part

A registration lookup narrows the catalogue to what actually fits the car in the bay.

2

Check what it costs

Your own shelf first, then live supplier availability and your trade price.

3

Order against the job

Ordered from inside the job card, so the order knows which car it belongs to.

4

Book it in

Receiving the goods updates the stock count and the cost in one action.

5

Invoice it

Fitted parts come off stock and onto the invoice at the price you actually paid.

Order from GSF Car Parts without leaving the job

Live stock and your own trade pricing, inside the job card. No second tab, no reading a part number down the phone, and no re-entering what you ordered when it turns up.

  • Live availability and trade price before you commit
  • The order is attached to the job, so it cannot be orphaned
  • Purchase orders, returns and supplier invoices in the same place
  • Purchase history kept against every part

The right part for the reg on the card

Parts are tied to the vehicle they fit, so a registration lookup narrows the list to what will genuinely go on the car. Wrong parts cost you the delivery, the return and the bay.

  • Catalogue filtered by the vehicle, not searched by hand
  • Fitment established before the order goes out
  • HaynesPro repair times beside the part, so labour is priced with it
  • Fewer return trips and fewer credit notes to chase

What your stock is actually worth

Stock is valued on a weighted average of what you paid, so the figure on the report is the figure your accountant can use. Every movement is recorded, so a discrepancy has a history rather than a mystery.

  • Stock valued on what you actually paid, averaged, not on the last price you saw
  • Every movement, adjustment and receipt timestamped
  • Reorder points and below-minimum reporting
  • Parts margin visible per job, not just across the month

Frequently Asked Questions

Yes. Bring your existing list in with supplier, cost and sell price against each part and it is there from the first day rather than being rebuilt one part at a time. Most garages already have this in a spreadsheet somewhere.

GSF Car Parts is connected for live stock, trade pricing and ordering from inside the job. Others are at various stages, and the integrations page is the honest list of what is live now rather than what is planned. We would rather you checked it than took our word here.

Either. Plenty of garages hold almost no stock and order everything against the job, which works exactly the same way. Stock control is there if you carry consumables and common service items, and it is not something you have to adopt to order parts.

Returns are handled alongside purchase orders and supplier invoices, so the stock count and the cost both come back to where they should be. The job it was ordered against is updated too, which is the bit that otherwise gets missed and ends up billed to the customer.

Through a markup matrix, so the rule is applied the same way regardless of who is writing the estimate. That consistency is the whole point: parts margin is usually lost to individual judgement calls rather than to any single bad decision.

Yes. Parts go onto the job card as they are used, and that is what deducts them from stock. Nobody makes a separate stock adjustment, which is exactly why the count stays right.

Yes. Cost and sell are held against every part and every job, so parts margin is reportable per job rather than only as a monthly total. A job can look busy and profitable at the top line while the parts on it were sold at cost.
